What is TOTE ?

The Product
- The TOTE Button sits in the lower right corner of your website.
- Easy to use backend dashboard to view and manage appointments, schedule, and personalized questions.
- Both customer and store will receive email and calendar appointment notifications; the customer also receives an SMS reminder of the appointment.

Getting Started With TOTE
The Product
TOTE consists of two components:
- The Widget from which customers can book appointments
- The Retailers Dashboard
The Dashboard
On the Dashboard you will find the following pages
- Calendar
- Schedule
- Questionnaire
- Settings
The Calendar Page
The Calendar Page offers the ability to view, edit or delete existing appointments.
Upon selecting an appointment your will be able to see the appointment details, customer contact information, and you will be able to edit or delete the selected appointment.
The Schedule Page
On the Schedule page you can select the days and time slots you would like to offer appointments to.
You can also specify the appointment duration, the minimum advanced hours to book an appointment and if you would also like to offer virtual appointments only.
The Questionnaire Page
The Questionnaire Page offers the ability to add, edit or delete personalized questions.
To add a question: click the ADD NEW QUESTION button at the top. Upon clicking on the ADD NEW QUESTION button you will see a form. Simply fill out the form and click save.
To deleted a question: select a question, click delete and confirm the deletion.
To edit a question: select a question edit the information in the form and click save.
The Settings Page
On this page you will find your stores settings along with the widget install code and the widget personalization form.
Before installing the widget please fill the "Retailers Info" form
On this page you will be able to specify the following fields:
- The name of your store
- The url to the website you will be installing the widget
- The store primary email with the ability to add employees emails (emails regarding customer appointments will be sent to the emails provided in this field)
- Addresses of the store (if the store does not have a physical street address please click on the checkbox "We don't have a physical street address")
- Virtual Appointments: here you have to select one of the provided timezones(the timezone specified in this field will be used when virtual appointments are booked)
Connecting a Zoom account to your retailer account
In this section you will learn how to connect your Zoom account to your retailer account
Navigate to the "Settings" page
On this page click on the "Booking tools" tab. There you will see a paragraph "If you would like to add a Zoom account to your calendar invites for virtual appointments click here". This paragraph is above the widget install code section
After clicking on "here" in the paragraph you will see the following page
In order to connect your Zoom account to your retailer account you need to click on "Authorize"
After clicking on "Authorize" you will be redirected to the following page.
After connecting your Zoom account and following the instructions on the page you should see an indication in the "Settings" page that a Zoom account is connected
Now you have successfully connected your Zoom account to your retailer account and a Zoom meeting will be created whenever a virtual appointment is scheduled and a meeting join link will be included in the calendar invite

How to remove your Zoom account from TOTE
- Log in to your Zoom account and navigate to the Zoom App Marketplace.
- Click Manage > Added Apps or search for the Tote app.
- Click the ‘Remove’ button.

Create your first appointment (Dashboard). Step by step guide
In this guide you will learn how to create an appointment on behalf of a customer from the dashboard.
This guide also covers all necessary configurations needed before you are able to create an appointment.
- Sign in to your account
- Go to the Schedule page and select the days and time slots you would like to offer appointments.
Example: - Got to the Questionnaire and add a question
Example: - Go to the settings page.
In order to make an appointment the following fields have to be filled:
Example:- Name
- Website URL
- Email addresses
- Addresses
- Virtual Appointments (This setting has been moved to the tab "Booking Tools")
- Name field: The name field should be the name of your store
- Website URL: This url should be the url of the website where you will install the widget
If you have not yet installed the widget you can use the example url shown in the image above - Email addresses: Here the first email should be the primary email of the store.
You also have the ability to add your employees emails.Whenever Appointments are made calendar invites will be sent to the emails listed in this field - Addresses: Here you should specify the physical address of your stores.
If your store does not have a physical address you should check the box "We don't have a physical street address" - Virtual Appointments: Here you have to select one of the provided Time zones
By default the selected time zone will be "Eastern Time (New York)"
The time zone selected in this field will be the time zone used for virtual interviews
- First you need to go to the calendar page.
The page will look like something like this: - Click on the "CREATE NEW APPOINTMENT" button
After clicking on the button you should see the following form: - Fill in the following fields in the form:
- Name: This should be the name of the customer
- Email: This should be the email of the customer
- Phone: This should be the phone number of the customer
- Select the type of the Appointment: Virtual or In Person
- Select a Date and Time
- Click SAVE
- After clicking SAVE an appointment will appear in the calender for the date and time you have selected

If you wish to see how a customer can create an appointment through the Widget we have set up a page where you can see how it will look for the customer after you have installed the Widget on your website.
The following page provided is used only for demo purposes.In order for your customers to book an appointment for your store you will need to install the widget on your website.
Instructions for the Widget installation can be found in "The Widget" section.

You will see the following page - At the bottom right corner you will find the widget. Simply click on the widget and a form will appear.
Example:When you install the widget in your website here you will see the questions you have provided in the Questionnaire pageSimply fill out the form and lick "LET'S DO THIS". After that you will see the appointment page - The appointment page
On this page you will be able to specify the date and time of the appointment as well as your personal information
Example:Fill out the form and click on the "CONFIRM APPOINTMENT" button.
If the appointment has successfully been made you will see the following screen
The Widget
The widget provides the ability for your customers to book virtual or in person appointment
Installing The Widget
Important: Before installing the widget please fill out the Retailer info form in the settings page.
The widget installation code can be found on the settings page in the retailers Dashboard.
In order to install the widget on your website simply copy the widget install code and insert it just before the closing </body>
tag on your website.
After installing the Widget on you website your customers will have the ability to book appointments
Customizing The Widget
You also have the ability to customize the widget
The widget can be customized from the settings page in the retailers Dashboard. Bellow the Widget Install Code is the Widget Customization form offering the ability to change specific properties of the widget. Simply fill out the form and click save.
Important: after saving the changes, in order for them to be visible on your website you need to again copy the Widget Install Code and insert it just before the closing </body>
tag on your website!
